Asset Tracking

The JCSLink Asset Tracking module allows customers to attach bar coded labels to their assets and use handheld devices to scan them, and to transmit the information to their JD Edwards ERP System. The software can operate in either real-time or offline mode. So customers can scan assets both within their four walls (normally in real-time mode) and outside of their premises (in offline mode).

The “real-time” mode works in the same way that other JCSLink modules work, that is, when a request is made by the handheld it is immediately submitted to JD Edwards and the results displayed.

The “offline” mode works by copying the asset information to the handheld device when it is “docked” at a workstation, then collecting information to its “local” database. When the handheld is redocked the information is synchronised with the JCSLink database and the information processed into JD Edwards via the standard “business functions”.

Features

The following functions are available to track assets:-

*

Upload – used during initial data take-on to allow existing assets to be scanned into the system, i.e. confirm where they are

*

Addition – to allow new assets to be received and records into the system

*

Audit – to check existing assets – similar to a stock check

*

Transfer – to allow a asset or group of assets to be moved from one location to another

*

Disposal – to change an asset’s status

*

Location Renumber – to reallocate location numbers without having to transfer assets

During an Audit, if an asset appears in a location it is not supposed to be in, then the software deals with the movements required to move the “old” one out and the “new” one in.

You can designate a default “missing” location, where assets will be assigned if they are not physically found at the location they should be.

The software maintains all standard JD Edwards asset history and audit trails.

When the software is operated in offline mode normal error messages cannot be fed back to the operative immediately. For example, an asset has been disposed of by the Finance Department, but it is transferred during an Audit by an operative. When the transaction is sent to JD Edwards the standard business function may fail due to the revised asset status. To assist with these anomalies “alerts” can be sent to a Supervisor’s Work Center to inform them of the error.

Examples

asset transfer on a Pocket PC

Here is the flow of a typical asset transfer

Scan the location the asset is currently in (to confirm)

The assets currently at the location are displayed

Scan the asset to be transferred

If there are more to be moved then scan them as well

Pick up the assets and take them to the new location

Scan the new location

The assets are all moved to the new location

Here is the flow of a typical asset audit

Scan the location being audited

The assets currently at the location are displayed

Scan one of the assets found at the location

If there are more then scan them as well

The assets are all confirmed to the system at the location

Here is the flow of a typical location renumber

Scan the location being renumbered

The assets currently at the location are displayed

Scan the new location “number”

The assets are all transferred to the new location number
